We have an exciting opportunity for an Trainee Legal Secretary (Apprentice) to join Wills & Probate department in Hartlepool and study for a Business Administration Level 3 qualification whilst gaining practical experience in the office.
The position is full-time for the duration of the apprenticeship, with one day per week spent at college in term time. On successful completion of the apprenticeship course, you will have the opportunity to progress to a Legal Secretary position within the business.
This role is suitable for those looking to pursue a career as a Legal Secretary, or Administrator. The candidate must be committed to achieving the Business Administration Level 3 qualification. The role will provide practical, on the job learning, to complement your studies.
You will complete a 15-month (approx.) programme at Hartlepool College, dependent on entry-level skills and experience. You will be assigned to an assessor who will keep you on track with your assessments. A mentor from within the business will be allocated to support you throughout your apprenticeship, to set learning goals and track progress.
You will gain a Business Administration Level 3 certification and complete an End Point Assessment (EPA) to complete the apprenticeship.
The purpose of this role is to train alongside an experienced Legal Secretary and to provide secretarial and admin support. As the role progresses, the post holder will learn additional skills to carry out duties which will further enhance support to the team. This will include but will not be limited to the main responsibilities given below.
Duties:
Assisting with all functions in the Wills & Probate department including:
- Administer both manual and electronic filing daily.
- Open, maintain and close both physical files and electronic version files via the firm’s case management system.
- Store and retrieve closed client files.
- Audio typing of letters and documents
- Copying and scanning documents.
- Making appointments, arranging meetings and maintaining up-to-date diary for fee earner(s).
- Provide support to other departments as required.
- Attend clients, primarily on the telephone, and provide such support in a professional and friendly manner in-keeping with Firm’s standards for client care.
- Undertake any specific training when required by the Firm and to have overall responsibility towards self-development.
- Ensure the confidentiality all information and documentation in relation to the Firm and its clients.
Desired skills and personal qualities:
- GCSE Maths and English (Grade 4 or above) or equivalent
- Genuine interest in working in a business environment and progressing within a legal environment
- Good level of IT Skills, Microsoft Word, Excel, Outlook
- Accurate and efficient data entry skills with strong attention to detail
- Good communication skills
- Good organisational and time management skills
- Able to use own initiative
- Good professional conduct
- Previous experience in a similar role is desirable
This role is full-time, working from Monday to Friday from 9am to 5pm and office based for 4 days per week with 1 day per week attending college.
